Photo Permissions: Years 8 – 11 Students

Dear Parent/Carer,

Photo Permissions: Years 8 – 11 Students

Please see below some background information regarding permission to take and use photographs of your child whilst they attend Hans Price Academy.

Images of students actively involved in school activities can provide a valuable record of life at Hans Price Academy, as well as recognise both individual and group/team achievements. Common examples of activities include sporting events, work experience, school productions and our inter-college competitions. Photos also help our Academy to communicate these achievements and the benefits of attending Hans Price Academy, which we believe have a positive impact on an individual’s confidence and can be a source of immense pleasure and pride, not just for the student, but their families as well.

Hans Price Academy recognises the need to ensure the welfare and safety of all young people taking part in any activity associated with our organisation and therefore endeavour to put effective safeguards in place to protect them. This includes minimising any risk that relates to the taking of, and storage of images in line with our Policies and Procedures including data transfer and security protocols.

In relation to your child, the Information Commissioner recommends that written consent should be obtained from parents of a child, however, young people aged 12 or over, if deemed competent, can make the judgement themselves. The Cabot Learning Federation has determined 13 years of age as more appropriate for this purpose.

With this Guidance in mind, we have planned an information session Friday 10th June 2022 during Learning Family time for students in Years 8, 9, 10 & 11 which will involve a presentation around photo permissions.

During this information session your child’s tutor will cover the basis of when and why we require permission, examples of events that the Academy would like to document such as Performances / Sports Day and inter-college competitions. They will also explain to your child their right to withdraw consent or change their permissions to opt in at a later date. This will then be followed by each student completing a permissions form.

We would ask Parents/Carers to engage their child in discussion ahead of Friday around the permissions below. These are identical to those in the form your child will complete, as responses once obtained, will impact on how the Academy uses images of them.

1Use of student photograph(s) in the academy and Cabot Learning Federation newsletters, on Academy noticeboards and in staff and parent communications (may include first name).
2Use of student photograph(s) on the Academy and Cabot Learning Federation websites and social media channels (may include first name).
3Use of student photograph(s) in the Academy and Cabot Learning Federation marketing materials (including prospectuses)
4Use of student photograph(s) in press releases to support stories about the Academy and Cabot Learning Federation.

If you believe that your child is not capable of understanding consent in relation to the taking and/or use of images, please speak to their tutor or email [email protected]

We are mindful of the fact that some families may have reasons why protecting a child’s identity is a matter of particular concern. If you have special circumstances either now or at any time in the future which would affect your position regarding your child’s ability to give consent, please let us know immediately in writing.

Hans Price Academy wishes to remind parents/carers that once their child’s consent has been given or refused, this can be amended at any time in writing. The school will then take all reasonable efforts to enact this request as quickly as possible.

Yours sincerely,

Mr Thomas Mallinson
